Position Overview

We are seeking an Administrative Assistant to join our team and support our financial advisors in handling administrative tasks and smooth office functioning and client experience.  The Administrative Assistant will work with the financial advisors and clients, ensuring exceptional service delivery and client satisfaction.  This role involves document preparation, addressing inquiries, completing transaction requests, and facilitating smooth communication between all parties.  The ideal candidate must have great attention to detail, financial industry knowledge, and a proactive approach to follow up and follow through with processes and procedures.  The Administrative Assistant position has plenty of growth opportunities!

Qualifications:

  • Strong organizational skills and attention to detail.
  • Previous experience in a similar administrative role, preferably in the financial services industry.
  • Exceptional conflict resolution skills, ability to build rapport, exhibit empathy, and provide exceptional client service.
  • Task oriented, able to multi-task, prioritize & manage multiple requests.
  • BA/BS in Business Administration, Finance, or related field preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to lead and work within a team.
  • Ability to learn CRM software and Microsoft Office suite. 

Responsibilities:

  • Document Management: Maintain and organize client files and records, ensuring accuracy, confidentiality, and compliance with regulatory requirements.
  • Client Account Management: Assist in opening, maintaining, and closing client accounts.  Process client paperwork and account transactions accurately and efficiently. 
  • Financial Transactions: Handle routine financial transactions, such as processing deposits, withdrawals & transfers. 
  • Reporting & Analysis: Prepare reports, presentations, and analysis as needed to support client meetings and business operations.
  • Client Service: Provide exceptional customer service to clients, addressing inquiries and concerns promptly and professionally. 
  • Compliance & Regulatory Compliance: Maintain adequate understanding of and adhere to regulatory compliance requirements.
  • Attending company events.

  • $20-$25 per hour wage at 30 hours per week.
